The Registration Process

The Sojitz Workforce Management process is completed in two parts: company registration and worker registration and induction bookings.

We suggest you read through the instructions before you get started, and allow yourself time to source and upload the information needed. A nominated administrator from your business will be required to complete the steps below for each worker who needs site access.

Step 1: BUSINESS REGISTRATION (CLICK TO EXPAND) +

Step 1 > Register a user name and password

The Sojitz Workforce Management System to register your business can be found by clicking the button below.

Start by entering a user name of your choosing, plus your email address and a password. You’ll be emailed confirmation.

Step 2 > Register business details and answer profile questions

Using your new details, login to the Sojitz Workforce Management System.

Follow the process to register your business by answering profile questions and selecting the insurances and licences you can supply to support your registration.

Step 3 > Pay for registration

Business registration costs $150 + GST annually. The cost is for the verification of your company information and documents, the management of your profile, and includes access to local support teams if you need help in the system.

Step 4 > Upload insurances and licences

You will be prompted to upload copies of the licences and insurances you selected in step 2 for verification. Depending on the work your business does, you’ll be prompted to upload the following:

  • Valid ABN matching company name
  • Workers Compensation Insurance policy
  • Public & Product Liability Insurance policy
  • Professional indemnity Insurance policy

On successful review and document verification, you will be emailed that your company registration is complete.

To reach compliance to work for Sojitz, you must register your workers and book their inductions. Expand the steps below. 

Step 2: WORKER REGISTRATION & INDUCTION BOOKINGS (CLICK TO EXPAND) +

Step 1 > Login to manage workers

On successful business registration, you will be invited to login to the system to manage your workers. Please click the link and login to this system using the details in the email sent by Onsite Track Easy.

Step 2 > Add workers

Once logged in, start by selecting Manage Roles and then Add New Employee. From here, enter and save their personal contact details, address, phone and email.

Step 3 > Select sites and choose roles

Select Work Roles > Add Site and choose the Sojitz site/s your worker will access. This selection will filter the roles you can choose for that worker.

Select All Roles > Add new role and choose the role/s your worker performs on each specific site.

Step 4 > Upload documents and book inductions

Your role selections will determine the competency documents (e.g. licences, medical etc) you’ll upload in the system to prove your worker’s qualifications to perform the chosen role/s. All Sojitz Contractors must upload a completed Induction Request Form with all site approvals.

Once all documents have been processed, you will need to contact Sojitz on cri-training@sojitz.com.au to book online inductions which are required to access site.

Step 5 > Complete Sojitz Online Induction

Once the worker receives a link and login details, they must complete the online induction. Your Company Administrator must then upload the induction completion certificate onto the worker’s profile. The Sojitz Training Department will contact you to confirm the Site Induction booking once this certificate is uploaded.

Step 6 > Attend the On-Site Induction

The worker must attend a Sojitz site induction. The site induction will cover what is required for site compliance and training requirements for the worker’s role.

Step 7 > Pay for registration and training

After completing all site induction requirements, you must pay for your worker’s registration and training to work for Sojitz.

Worker registration costs $95+ GST per worker for the first year, and $60 + GST annually for the management of roles, verification of documents, access to online training, and supply of card.

Validation

The documents you’ve uploaded during registration will be validated. You’ll be emailed if any information needs correcting or updating. Upon document approval and induction completion, the roles will be applied to your workers in the system and their access ID cards issued.

It’s important that you keep all details up to date to continue working for Sojitz. You’ll be emailed if any worker’s documents are expiring in the system so you can update them.

You may also wish to invite your registered employees to the Worker Portal, where they can manage their own compliance. Simply select the Invite Employee option from their profile once you’ve registered them. Visit the Worker Portal page for more information.

It’s important that you keep your company and worker’s details up to date. You’ll be emailed if any documents are expiring so you can update them in the system.
